Our company wants an AI writing policy. What did yours include?

Short answer

Here is where my draft stands, so you have something to correct. The version I am proposing is two pages and has six sections: which tools are approved, what kinds of data may go into them, when AI use must be disclosed, who reviews AI-assisted output before it goes out, what training staff get, and who to ask when a case is unclear. If your policy is longer than that, I would like to know what earned the extra pages.

Background. I am an HR coordinator at a mid-size company with about a dozen teams, some of them in the EU. Marketing and recruiting already use AI tools for job posts, outreach and summaries, mostly on whatever they signed up for themselves. Leadership wants a written policy before that spreads further. I am the one drafting it, with legal and IT reviewing.

The questions I cannot settle alone:

    1. Do we approve named tools, or describe categories of use? Named lists go stale, but categories are vague.
    2. How do we sort data? I would like three levels (public, internal, confidential or personal) with a rule for each, not a long list of examples.
    3. Is disclosure to clients and candidates required, or just encouraged? We write job posts, so candidates matter.
    4. What does "reviewed by a human" actually mean in a sentence an employee can follow?
    5. How do you handle people who are already using personal accounts?

I would rather copy what has survived contact with real staff than invent it. What did your policy include, and what did you cut after the first month?
